Background

Under the supervision general of Chief Op e ration and in coordination with the head of Unit é s, the Archivist shall be responsible for filing, scanned authorization and search documents . The Archivist works closely with the Finance units, Purchasing and HR at the Operations for information exchanges and ensure satisfactory performance of services.

Duties and Responsibilities

Under the general responsibility of the Chief of Operations and in general coordination with the heads of Units: Finance, Procurement and HR the Archivist will have the following responsibilities:

Finance Unit:

  • Make the physical and electronic classification of the various financial documents of the office according to the established protocol: vouchers, deposits, GLs, financial reports, budgets and all other documents relating to the Finance Unit
  • Assist in the tracking of checks for signature
  • Provide support in the processing of paraphors and the recording of checks in Excel.
  • Make photocopies of the documents and notify the beneficiaries
  • Prepare the vendor check distribution list and return it to the Delivery Unit driver
  • Check the checks delivered and returned
  • Research documents of UNDP and its projects, UNFPA and other Agencies and / or staff members upon request
  • Save the transfers sent to the bank
  • Scan all new folders

Purchasing and General Services Unit:

  • Make the physical and electronic classification of the various procurement documents of the office according to the established protocol: complete files of each tender of the submission to the signed contract,
  • Assist in the search for records during the audit period
  • Attend the update of the chart of follow-up of the files of contracting
  • Make the physical and electronic classification of the various inventory documents, transfer of property equipment, transfer of office equipment according to the established protocol
  • Scan all new folders

Human Resources Unit

  • Make the physical and electronic classification of the various files of the human resources of the office according to the protocol established: complete files of each staff, service contract and trainees, pension, retirees,
  • Inventory missing documents in each file
  • Assist in the search for records during the audit period
  • Scan all new folders

Required Skills and Experience

Education :

High School Level (BAC II). A certificate in a technical school is a considerable asset.

Experience:

The candidate will have good professional experience within a Development Support Organization.

Language :

Perfect mastery of French and good knowledge of English.
